The details that change your bill

Who needs which seat? A salesperson using advanced Sales Hub features needs different access from someone who only reviews information. HubSpot offers View-Only Seats at no additional cost. Core Seats provide access to purchased products, but don't include the full Professional or Enterprise sales tools. Match access to each person's job. HubSpot seat definitions.

Which contacts will you market to? On plans with marketing-contact pricing, non-marketing contacts aren't billed as marketing contacts. Crossing your paid contact tier can trigger an automatic upgrade. Reducing the count afterward doesn't automatically reduce your tier mid-term; downgrades happen at renewal. Decide which records should become marketing contacts before importing them or turning on forms and workflows. HubSpot's contact billing rules.

What else will the process use? Calling tools, texting, integrations, and other applications may carry separate fees. Some HubSpot AI features consume credits. Check the included allowance, additional usage pricing, and spending controls for the features you intend to use. HubSpot credits and limits.

HubSpot lists its required onboarding fees on its pricing pages. The work is to include them in your budget and understand what they cover.

Onboarding and implementation need separate scope

Ask what the onboarding package will deliver before assuming it includes your full migration, integrations, workflows, and team training.

For a roofing business, implementation might connect a website inquiry to an assigned salesperson, estimate follow-up, a production handoff, and reporting. Each step needs agreed rules, usable data, and someone responsible for it.

Our CRM strategy and implementation work starts with that process. The reporting foundation then needs to show whether the process is working.

Full Throttle's published project ranges are $5,000 to $15,000 for one workflow, $15,000 to $50,000 for a connected system, and $50,000+ across multiple systems and teams. These are our project ranges, not HubSpot fees or a claim about every provider's pricing. Scope and fees are agreed before work begins. See project scope and investment.

A first-year budget example

Assume a company needs five Sales Hub Professional seats, pays annually, and commissions an implementation project priced at $15,000.

  • Sales Hub Professional: 5 seats × $90 × 12 months = $5,400

  • HubSpot Professional onboarding: Published one-time fee = $1,500

  • Implementation: Hypothetical scoped project = $15,000

  • Illustrative subtotal: $21,900

The software and onboarding figures come from HubSpot's Sales pricing. The $15,000 implementation is an example, not a fixed Full Throttle package.

This subtotal excludes tax, Marketing Hub, extra applications, usage charges, ongoing support, and your team's time. Add whatever the actual scope requires. If an onboarding fee is waived or credited in your agreement, reflect that once in the budget.

The following year's budget changes because the initial build isn't automatically repeated. Software, support, usage, and any new work continue according to your agreements.

Choose the plan around the work

Before buying, walk through a real inquiry with the team. Who receives it? How quickly is it assigned? What follow-up should happen? What does the next department need? Which report will tell you something was missed?

Then check which subscription supports those requirements.

A simpler plan may be enough for a small team. A more involved sales process may justify Professional or Enterprise. Revenue alone doesn't decide that, and paying for a higher tier won't make an undefined process clear.
